Question

1) Details of how much was spent on council Christmas and New Year parties last year (i.e. December 2012). For clarity, for this I mean parties hosted by staff or members of the council. If possible I would also like a detailed breakdown of what the money was spent on. I would also like to know the venue and date of each party, and the number of people invited.

2) Minutes of any meetings at which such parties were included as an agenda item.

If 2) should go over the cost limit for FOI, I would appreciate a response to 1).

Answer

1) Details of how much was spent on council Christmas and New Year parties last year (i.e. December 2012). For clarity, for this I mean parties hosted by staff or members of the council. If possible I would also like a detailed breakdown of what the money was spent on. I would also like to know the venue and date of each party, and the number of people invited.

The 2012 Staff Christmas Party was held at lunchtime on Friday 14th December at Charnwood Borough Council’s Southfield Offices.  It was open to all staff and we estimate that approximately 250 attended at some point to participate in various charity fund raising activities

Refreshments, prizes, cakes etc were donated by staff or through staff paying for activities, so the cost to the Council was zero. The main purpose of the event was to bring staff together to raise money and gift boxes for local charities / good causes.

Any other Christmas Parties are organised and paid for directly by staff working in individual teams, again at zero cost to the Council.

In addition Landlord services have in the past run events at Christmas to engage with tenants – mainly in sheltered schemes.  We also host and promote various events in Loughborough Town Centre for residents and visitors during December.  We do not believe that these type of events fit under the scope of your request, however if you would like further details of these events, please let me know.

6. Christmas Events

6.1 Event in Break Out - Much discussion took place with regards to the Christmas Events.  Many ideas were brought to the meeting. It was agreed that the event provisionally scheduled for December 14th include:
•           A Christmas quiz with refreshments for participants
•           A Festive Themed Cake Decorating Competition – to be judged by the Mayor
•           Guess The Teenager  - Then and now photographs of staff as teenagers
•           Wine or Water Bottle Game
•           Guess The Number of Sweets

6.2 Homelessness Charities - It was agreed instead of donating decorated Christmas Trees to the two local homelessness charities, (The Carpenters Arms for Adults Shelter and Loughborough Foyer for 16-25 Year olds) hampers, made to include such items as toiletries, be given.  Staff would be asked to donate items.

6.3 CMT’s Got Talent – After much discussion and many diverse ideas it was agreed to ask the CMT to participate in a Christmas Talent Show.  Each would be allowed one minute to display their particular “talent”.  Staff would vote for the winner.

6.4 Extra Meeting – It was agreed that the Staff Forum meet in two weeks time to finalise plans for the Christmas Event (this meeting was a planning meeting and no notes were taken)

3. Christmas Event Feedback

3.1 The Chair reported that it had been a brilliant event, with all Services represented.  All the activities had been successful. 

3.2 Just under £150.00 had been raised for the Mayor’s Charity. The Mayor would be circulating a thank you letter shortly.

3.3 Timing of the event had been right.  Had it been a week later it was considered that fewer members of staff would have been able to attend.

3.4 Staff had been very generous with their donations for the Boxes of Kindness.  There had been sufficient toiletries to support people in two local hostels – The Foyer and Park Road Hostel.   It was proposed that for any future events, collection points be introduced at outlying Service centres, to encourage their participation.  It was also proposed that the collections could be extended to include small pieces of clothing, for example, socks, hats and gloves.
